Privacy policy

This policy explains what personal information bluebill collects, why, who we share it with, and how you can access, change or delete it. We follow the Australian Privacy Principles in the Privacy Act 1988. If you live in the European Union or the United Kingdom, we rely on your consent for recording and licensing, and you have the rights described below.
What we collect
- Your profile: name, email, country and region, field, years of experience, specialty, qualifications and LinkedIn profile, and the role you applied for.
- Availability: the languages you work in, your time zone and the hours a week you could work.
- Your resume, if you upload one.
- Your interview: video and audio recordings of your answers, and text transcripts of them.
- Answer measurements: for each answer, how many retakes you used, how long you took before starting, how bright the picture was, how long the microphone heard nothing, and your browser and camera resolution. These help us spot technical problems and improve the interview. They are never used on their own to decide an application.
- How you found us: the website or campaign link that brought you here and the first page you visited. We drop anything after a "?" in those links.
- Email confirmation: whether and when you confirmed your email address.
- Your consent choices: the exact wording you were shown, when you agreed or withdrew, your IP address and your browser's user agent.
- Application status and, once review is in place, scores and the written reasons for decisions.
If you contact us or request a pilot through our website, we keep your name, email, company, role and message, and the details you choose on the form, so we can reply.
To protect the website from abuse, we count requests from each IP address and email address for a short time. We store these counts against a one-way hash, not the address itself, and clear them within two days.
We do not use cookies for tracking or advertising. The application form keeps a short-lived note in your browser so refreshing the page does not lose your place.
Why we collect it
- To assess your application against the published criteria for the role.
- To contact you about your application and any paid work.
- To keep a record of what you agreed to, as proof of consent.
- To meet our legal obligations.
Recordings and sensitive information
Video and voice recordings can reveal sensitive information. We only record after you give express consent on a dedicated page, and we do not use recordings to identify you by your face or voice. Please do not mention patients, clients or confidential matters in your answers.
How decisions are made
An AI model may help score transcripts against the published criteria. It is advisory. A person reviews your interview and makes every decision, and you get a written reason you can appeal.
Who we share it with
- Companies that help us run bluebill, under contracts that limit their use of your information to that work. They include services that host and store our data, send our emails, and turn recorded answers into text. Before we start using a new kind of service with your information, we will update this policy.
- AI developers, for work you create on paid projects, under your contractor agreement. We do not license interview recordings, transcripts or resumes. They may be located outside Australia, including in the United States and Europe.
- Authorities, where the law requires it.
We do not sell your personal information for advertising, and we do not license anything you have not separately agreed to license.
Where it is stored
We store your information securely. Some of it may be held outside Australia, and recorded answers are sent to a transcription service that may be outside Australia. Licensed material may be sent to AI developers overseas, as described above.
How long we keep it
We keep application information while we assess it and while you work with us. When you withdraw a permission or delete your application, we delete the files that permission covered. We keep the record of what you agreed to and when, including withdrawals, as proof of consent.
Your choices and rights
- See or change your consent: use the private link from the end of your interview.
- Withdraw licensing consent, if you gave it under an earlier version of our consent page: use your private link. Your files are deleted and left out of every future dataset.
- Delete your application: use your private link. Your recordings and resume are deleted, and your name, email and other profile details are removed.
- Access or correct your information, or ask any other privacy question: contact us at our contact form.
If you are in the EU or UK, you can also ask us to restrict or port your data, and you can complain to your local data protection authority.
Complaints
Contact us first at our contact form and we will respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
We will update this page if our practices change, and change the date at the top. If a change affects what you agreed to, we will ask for your consent again.
